Once every four years, the FNV (the largest trade union in the Netherlands) decides on the Multi-Year Policy Plan at a congress. This year, more than 600 members gathered at the Van der Valk Hotel Schiphol, around 500 of whom were eligible to vote. The agenda included 54 amendment proposals and hundreds of motions.
We were able to support the congress, and that started well before the day itself. Participants registered via our registration website. First, we asked only the basic questions. Later, we added the practical arrangements questions, such as meals and hotel accommodation. Anyone who had already registered automatically received an email to fill in those extra questions. The FNV team checked every registration and could see everything in one dashboard, without separate Excel lists.
On the day of the congress, badge printers were set up at the entrance. An FNV volunteer was at each station to help people get started. Anyone who could not find their QR code or had a last-minute change could go to a separate desk. This kept the queues away.
During the congress, we had a tablet ready on the chairs for everyone who was eligible to vote. Eligible voters logged in with a personal code. The current congress documentation and other information could also be read on the tablet, as well as withdrawing your speaking time and, of course, voting. On average, 98% of eligible voters cast their vote within 10 seconds. This meant the team writing the multi-year plan could get straight to work on the results.
Meanwhile, the main hall was streamed live to the sub-rooms, so staff and guests could also follow the debate and votes. International guests had access to translation via our own European system, where all data remains under our ownership.
At the end of the day, the tablets were cleaned and charged for the next day of the congress.
