7 partners from the event industry are joining forces for affordable events in 2020. As happy as everyone is that events are allowed again, realistically live events have become almost unaffordable. The 1.5-meter rule means that for an event of 150 people you need a gigantic location, where you could previously accommodate 1200 people. That is why 7 prominent event companies have developed a plug & play, all-in-one concept for the lowest possible price in Passenger Terminal Amsterdam . A temporary concept for the return of events One of the initiators of the 'Cruise in Control' concept and director of International Orange Eva Annokkee explains: “We are eagerly looking forward to the return of live events. Meeting each other again and looking in the eye. And of course immerse ourselves in the way in which this can be done as pleasantly as possible in the 'new normal'. We note that the 1.5m measures often make it seem complicated and more expensive to organize events. That is why we got together with our loyal partners and developed this concept. ” Plug & play, but still 'tailor-made'. As mentioned, you are looking for a much larger location for your event. This also means more technology and decoration. If you spread these amounts over the much smaller numbers of visitors, events can actually no longer be paid. By developing a plug & play (ready-to-use) concept that lays a solid foundation for every event, you save a lot of time and costs related to construction and dismantling. Annokkee explains: “All partners have integrated the highest quality technology, catering, decoration and on-site registration into a ready-made concept. This feels a bit strange to us, because we normally tailor everything. But because we find it important in these times to help event organizers as much as possible, these partners are happy to make their expertise and equipment available (temporarily) for a competitive price. To stimulate business events to get going again. In a safe and efficient way. Unique opportunity The fact that Passenger Terminal Amsterdam available for events this summer is quite unique. Director Passenger Terminal Amsterdam Dick de Graaff explains: “PTA is a multifunctional terminal that we use for both the handling of sea cruise ships and a location for events. Normally we would now have been in the middle of the high season and we welcomed sea cruise ships at our quay every day, with occasionally room for an event ”. De Graaff: “This exceptional situation also requires an exceptional approach. Normally, the terminal is converted from event location to cruise terminal and vice versa almost every week. To maintain this flexibility, we have few things in house. Now that this conversion is not necessary, we can, in collaboration with the partners of Cruise in Control, offer a wonderful plug & play concept for a razor-sharp price ”. Demonstrate what is possible Registration and communication play a major role in allowing relations to participate safely. Rutger Bremer, founder of Momice explains how they guarantee safety for Cruise in Control: “It is very important to the industry that we show how we can safely organize 1.5m events. That is why we have great solutions to prevent long queues and contact: We divide the arrival into several time slots so that not everyone enters at the same time. ” Checking in is normally a process with many actions by the host (ess). That is different now. Bremer: “Checking in with a badge is completely contactless. Participants scan their e-ticket on an iPad and a label is automatically printed that they can stick on their badge themselves. The maximum number of participants on location and during break-outs is also automatically managed by the software during the event. ” These are the partners Passenger Terminal Amsterdam | Event location International Orange | Coordination & event production Momice | On-site registration Hot Pepper | Catering Booz event design | Interior & event design Solid Rental | Audiovisual technology & show direction HWM | Audiovisual technology & show direction

Small meetings are allowed again from 1 June. But these meetings can only succeed if the participants have confidence in safety. Postillion Hotels came up with a personal boarding pass, on which all personal safety information about the event is shared. With this, Postillion Hotels and Momice show how locations and organizers can prevent contamination with the covid-19 virus at events. Aviation procedures with both feet on the ground The boarding pass shows the name, but also the personally assigned entrance, exit, toilet and lunch room in a clear map. Just like in an airplane, you will be assigned a personal seat number, so that you can be sure that you end up in the right place. Mark Struik, commercial director of Postillion Hotels: “People are already used to these procedures in aviation. The application to events ensures that our visitors can participate in events more safely. ” Need for professional registration and clear communication According to Rutger Bremer, CEO of Momice registration software, this is a logical step in the professionalization of communication to visitors. Bremer: “I have always believed that clear communication around an event is very important. This situation shows that it is not only important but even necessary to get your participants to your location. Registration is also more important than ever. You are obliged to know who is participating in the event. Fortunately, at Momice we have the right applications ready to register visitors in advance, but also to check in and out at the event itself. This way, as an organizer you can really ensure the safety of your visitor. No surprising collaboration The collaboration is not entirely surprising. Bremer: “6 years ago we offered to sign in the floor plans for all event locations in the Netherlands as an extra service, so that the organizers can share them with their visitors. That makes a huge difference in costs, because every organizer had them subscribed time and time again. Bremer: “Together with the Passenger Terminal Amsterdam, Johan Cruijff Arena, Postillion Hotels was one of the first locations to choose this. To this day they offer these floor plans to all their organizers. Because they were one step ahead of the industry, they can now maintain this high service level and respond more easily to the new conditions. ” NXTMICE as the first pilot On 2 June, Postillion Hotels organized NXTMICE, the first 1.5m event for the event industry itself, in 3 Postillion Hotels. Struik: “When Mark Rutte started talking about the 1.5m economy in the press conference, we immediately got to work on what that would mean for the events at our locations. We wanted to show our solutions to the most important players in the industry, so that they can share this within their network and we can all organize safe events together. ” Part of this solution is the Postillion Hotels Boarding pass. Bremer: “The participants will receive an email with a link to the personal page where the boarding pass is displayed. This way, every visitor knows exactly which route to take - and large groups of participants avoid crossing each other within the location. ” The new security standard for all Postillion Hotels events Momice has developed the software in such a way that all participants of meetings and events at Postillion Hotels will receive a personal boarding pass in the coming months. Struik: "We hope that future visitors will regain their confidence and can participate in our events with confidence."

Between May 13 and 20, event professionals could participate in a 6-day online training to organize successful online events. More than 600 event professionals now know everything about software, objectives, programs, experience, interaction, registration and viewer data for online events. 88% of the participants indicated that they are now better able to organize online events. Adaptation to online and hybrid events is necessary Due to government measures, organizers have to rely on online or hybrid events. But different rules apply to online events. Rutger Bremer, CEO of Momice explains: 'We received a lot of questions from our network about how to organize successful online events. We ourselves had experience with hybrid and fully online events through our Connecting the Dots series. So we went even further to develop a full course together with our partners to help event professionals with this theme. ” The six themes The Crash Course is divided into 6 themes: livestream software, objectives, audience interaction, experience & networks, online programs and registration & viewer data. Bremer: “Online events really require a different approach. For example, you can focus the online objectives much more on the behavior in viewing participation figures. An online program can also last up to 1.5 hours with a smooth, tightly directed, dynamic experience and interaction with the audience is a must. Choosing the right tool is not easy, so we help our participants choose the right tools and livestream platforms. Finally, we considered the registration and analysis of the viewer data, because online events generate much more data than offline events! ” From registration software to training Momice develops software to professionalize the registration and communication of business events. The step towards educating the target group is not entirely unexpected. Bremer: “We started Momice 7 years ago because we want to take events to a higher level. We have developed software, but also want to share our experiences and knowledge with event professionals as much as possible. Online events are an extension of what we are doing every day: software, communication, data and objectives. Thanks to our experiences and relationships with partners, we were therefore able to design this Crash Course within a week! ” The undiscovered benefits of online events With this Crash Course, Momice wants to show all event professionals how valuable online events can be. Hence, the degree programs are still available online. Bremer: ”In the online edition of Connecting the dots we went from 50 visitors (physical event) to more than 620 participants! Through polls, questions from the participants and viewer data we gained so much more insights into the needs of our target group with a third of the budget of an offline event. This shows that online events are really very interesting to include in your concepts. A new balance between offline and online Over the next 1.5 years, the relationship between offline and online events will be rediscovered. Bremer: “We will be organizing much more online and hybrid events than we expected. Due to the limited capacity and risk of participating in events, your target group will no longer easily reach a physical location. But online and hybrid events have a lot to offer. So event pros: Get out of your comfort zone and discover the possibilities of online events. ” Review Crash Course Online Events The Crash Course is still available.
